Job Overview

We are hiring an Office Coordinator to support daily office operations and serve as the primary point of contact for employees, guests, and candidates in a fast-paced office environment. This role focuses on front desk operations, employee support, vendor coordination, office readiness, and maintaining a positive workplace experience.

This position is ideal for candidates with office coordination, administrative, or workplace operations experience who are highly organized, proactive, and comfortable managing multiple responsibilities independently.

 

Key Responsibilities

• Manage front desk and reception operations
• Greet employees, guests, and candidates professionally
• Support office operations and vendor coordination
• Manage guest workflows and visitor systems
• Coordinate office events, snacks, and workplace supplies
• Support onboarding activities including desk setup and access management
• Process employee requests, questions, and office-related issues
• Coordinate with building management for maintenance and access requests
• Manage incoming mail, packages, and deliveries
• Maintain kitchen, restroom, and supply areas
• Complete daily office opening and closing procedures
• Provide occasional support coverage for the Santa Clara office

 

Requirements

• 3+ years of experience in office coordination, office management, administration, or similar roles
• Strong written, verbal, and interpersonal communication skills
• Highly organized with strong attention to detail
• Ability to multitask and manage priorities independently
• Strong project coordination and organizational skills
• Professional and polished communication style
• Experience using Zoom, Slack, and Google Workspace
• Ability to work collaboratively across teams

 

Schedule

• Monday – Friday: 8:00 AM – 5:00 PM

Additional Details

• Onsite role in San Francisco, CA
• Occasional travel to the Santa Clara office may be required
